PayNow screenshots aren't proof of payment. Here's what is.

“Paid! 👍” plus a screenshot is how a lot of PayNow payments get confirmed in Singapore. It feels like proof. It isn't, and small businesses have lost real money finding that out.

Why a screenshot can't be trusted

  • It can be faked or reused. A screenshot is a picture. It can be edited, or an old one sent again. One Singapore restaurant owner reported losing about S$4,600 to 35 fake PayNow screenshots over two years, only caught when an accountant went through the books.
  • It shows the payment was sent, not that you received it. Money can go to the wrong account, or somewhere you weren't expecting. In one forum thread, a payment that seemed to have vanished had landed in the owner's PayLah! wallet rather than their bank account.
  • It doesn't say which order it's for. When several customers pay similar amounts, matching screenshots to orders at the end of the day is slow and easy to get wrong.

What counts as proof

The payment appearing in your own account. That means your bank's transaction history or notification showing the amount, the date and, ideally, a reference that tells you which order it's for. Until it's there, treat the order as unpaid, however convincing the screenshot looks.

Make every payment easy to match

  1. Give every order a reference, usually the invoice number, and ask customers to use it.
  2. Put it in the QR code. A PayNow QR can carry the exact amount and the reference, so the customer doesn't type either. You can make one with our free PayNow QR generator.
  3. Check how your bank shows it. For PayNow to a business UEN, the reference usually appears in the transaction details. For PayNow to a personal mobile number, many banks don't show it, so you may be matching on amount, name and time instead. Pay yourself S$0.01 once to see exactly what your bank displays.
  4. Mark it paid only when it's arrived, and send a receipt. The receipt is the customer's proof; your bank record is yours.

Don't let it become awkward

None of this means treating customers as suspects. It's a routine: every order has an invoice with a reference, every payment is checked against the bank, every payment gets a receipt. When it's the same for everyone, nobody feels singled out, and you stop spending evenings scrolling through WhatsApp.
